The Purpose of the Handbook

The present handbook aims to provide our employees with a comprehensive guide to understanding our company’s policies, procedures, and expectations. This handbook will help our employees understand their rights and responsibilities and engender a respectful and productive workplace culture.

We take pride in offering everyone equal job opportunities, regardless of race, ethnicity, gender, religion, or disability. We strongly encourage incentives to promote diversity in the workplace. Any behavior contradicting these values will be addressed immediately, and appropriate sanctions will be imposed.

Working Hours and Schedules

Employees are offered flexible work arrangements depending on the workload and the employees’ preferences. All employees are given the choice to work remotely at least one day of the week, with the possibility of increasing the number of remote work days to three days each week. We also offer paid time off: one paid day off a month is provided to each employee. Overtime is compensated at a time-and-a-half rate; weekend shifts are compensated the same way as overtime.

Professionalism must be the basis of our employees’ workplace conduct. All employees are expected to follow the established dress code, which excludes any revealing or unprofessional clothing (Organ and Bortoff). Respectful communication is to be present at all times, both face-to-face and online. Any offensive behavior or behavior that can be deemed unprofessional will not be tolerated.

Confidentiality

Offering financial services implies dealing with clients’ confidential financial information. All employees are required to respect our clients’ confidentiality strictly. Before they start working in our company, each employee signs a confidentiality agreement. The agreement prohibits sharing any sensitive information without the client’s consent. The employees must be aware of the legal measures that will be taken to protect our clients in case confidentiality is violated.

Conflict of Interest

All employees are expected to avoid conflicts of interest, including refraining from participating in business activities that can harm our business. Cooperation with competing companies must be avoided; in any case, it must be discussed with the administration in advance. If an employee decides to provide financial services outside the workplace, it also needs to be coordinated. Approval for both activities is necessary. If the actions occur without the company’s approval, sanctions will be imposed.

Social Media

Responsible social media usage is expected from all employees at all times, including outside of the workplace. Any irresponsible actions that damage the company’s image or violate the company’s confidentiality will not be accepted (Cornier). Any online harassment perpetuated by employees will be investigated. Responsible, ethical behavior is expected from employees at all times; professionalism is to be maintained offline and online.

Customer Service Expectations

The highest quality of customer service is one of the foundational values of our company. When working with our clients, all employees are expected to provide excellent professional service. The excellence of our service lies in prompt and quality responses to our clients’ requests and effective communication, where all the needs of the clients are heard and taken into consideration. Employees must also aspire not only to meet the clients’ needs but also to exceed their expectations regarding the quality of the provided service. These requirements are obligatory to fulfill, as the failure to do so may negatively impact the image of our company, which is unacceptable for the success of our business.

Communication Guidelines

Employees must follow the communication guidelines presented here when communicating with our clients. The first requirement is to use professional and appropriate language and tone, and always abide by the dress code (Organ and Bortoff). Timely responses to clients’ requests are a must in a preferred time frame of 24 hours.

If the employee fails to respond within a fixed period, a valid reason for the lack of response must be provided to the client. All the information must be double-checked for accuracy before being given to the customer. All the information should be presented clearly to avoid misunderstandings.

Conflict Resolution Policy

When conflict resolution is necessary, employees must consider the following policy: First, professionalism is required in any workplace conflict. The problem must be defined clearly, and the employees must work together to find a solution. Misunderstandings are to be avoided. Thus, the language used in conflict resolution must be clear and concise. Finally, the result of the conflict resolution must be analyzed to avoid similar conflicts in the future.

Employee Development

We understand that the success of our company and the quality of the services we offer to our clients depend on the professional qualities of our employees. Therefore, we believe we provide opportunities for continuous growth, while the employees are responsible for taking their professional development seriously (“Employee Handbook and Company Policies”). We offer numerous training and development programs that our employees participate in in their workplace. We understand that finding time outside of working hours might be difficult; thus, we allow the employees to complete these programs during their working days. We assist employees in developing new skills, acquiring new, up-to-date knowledge, and providing them with mentorship and coaching opportunities.
